Position Summary

The Development Coordinator’s primary role is to manage the Development Department’s operations including: donations and grants processing and acknowledgements, reporting and analysis for fundraising strategies and activities, and quality assurance of our database and financial records. The ideal candidate will excel at developing and maintaining systems; providing information, tools, and assistance to enhance the organization’s development efforts; and contributing to strategic thinking based on best practices of data management and donor cultivation.

Essential Job Functions

Donations/Grants Processing and Acknowledgements (40%)

  • Enter and code donations, foundation grants, and other sources of revenue
  • Produce acknowledgments for individual donors, foundations and other institutional donors, and special events
  • Work with the Finance team to ensure correct tracking and allocation of donations
  • Produce weekly revenue report
  • Analyze results of campaigns
  • Manage solicitation lists and develop reports, which prioritize solicitations and evaluate progress
  • Communicate with staff and volunteers re: gifts made in honor
  • Process Matching Gifts and online sponsorship applications
  • Help evaluate use of technology platforms and any other revenue generating aspects of events

Data Management and Analysis (30%)

  • Maintain integrity and hygiene of data and records, making sure all contact and gift information is regularly updated and audited for errors
  • Collaborate with Marketing on ensuring that all data from e-mail marketing system is integrated with Salesforce
  • Enter Board solicitation lists and prepare constituent reports for Executive Team and Board of Directors
  • Maintain consistency in database processes and procedures
  • Collaborate with colleagues on making database (Salesforce) and systems improvements

Donor Relations Support (30%)

  • Assist with preparation, list segmentation, and reporting for all cultivation and solicitation activities, including direct mail and digital campaigns, and events
  • Manage direct mail campaigns, coordinating with vendors
  • Maintain electronic files of all Development correspondence and materials
  • Manage ‘monthly donor’ pledges
  • Ensure donors are properly credited and listings are accurate on all materials (save the date, invitation, program and digital lists)
  • Respond to donor requests when needed

  • 1-3 years of relevant experience
  • Good understanding of philanthropy
  • Experience working with CRMs and ability to become proficient in Salesforce
  • Understanding of best practices for development operations, data management, gift processing, and acknowledgements
  • Comfortable working with numbers
  • Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Adobe Acrobat
  • Excellent organizational skills and impeccable attention to detail
  • Demonstrated ability to anticipate problems, find opportunities and improve systems with a solutions-oriented mindset, flexibility, and optimism
  • Sound judgment and the ability to exercise discretion with confidential information
  • Excellent interpersonal, written, and oral communications skills
  • Motivated self-starter with the ability to work independently and collaboratively
  • Bachelor’s Degree preferred

Preferred Qualifications

  • Experience using Salesforce and Pardot
  • Experience working in a Development Office

Work Location

Currently primarily remote, although office space is available in White Plains, NY. We anticipate staff will continue to work flexibly between home and office.
